I hope this communication finds you and your loved ones well and safe.
Since the start of the year, every decision that we have taken has been with an abundance of caution, and keeping the safety and security of our participants as our number one priority.
Life in Delhi remains challenging, with a rapid increase in the number of Covid-19 positive cases. As you may have read, India is currently amongst the worst effected nations, and Delhi is amongst the cities with the largest number of daily reported cases. On the positive side, the fatality rate is low, and we are confident that things will soon take a turn for the better.
As you would imagine, the current uncertainty makes it difficult to predict when international flights to India are likely to commence, or when the governmental directives allowing large gatherings will be issued – both of which impact our ability to hold a world class event with participation from across the globe.
Hence, owing to factors completely outside of our control and based entirely on the Coronavirus pandemic that currently afflicts the world, with a view to remove the constant uncertainty, it has been decided to reschedule the 28th Convergence India & 6th Smart Cities India expos to 24 to 26 March 2021 at Pragati Maidan, New Delhi.
Let us assure you that this was not an easy decision for us, as we strongly believe that the ‘show must go on,’ but despite this delay causing us a substantial financial loss, keeping the safety of participants like you at the forefront, we feel compelled to make this decision.
In keeping with best practices in the exhibition industry across the globe, and with a view to make this rescheduling a mutually beneficial decision, we have resolved as follows:
- 100% participation fees received for 2020 will be rolled over to 2021. This way participating companies don't have to be burdened by any payment obligations for 2021. This rolled over credit will have to be utilized in the 2021 edition and will not be carried forward beyond that.
- If any balance payment is outstanding from a participating company for 2020, then the balance payment must be made by 31st October 2020. If the balance payment is not made by this date, then all the monies paid for the 2020 edition, which would otherwise have been rolled over, would stand forfeited and the booth space allocated will be released.
- If any company does not wish to take part in 2021, keeping with the terms of our contract, the participation fees will stand forfeited.
- In keeping with the provisions of our contract, as the rescheduling is taking place on account of extreme and unprecedented circumstances outside of our control (force majeure circumstances), please note that no refunds will be offered.
Over the past few months, we have received enormous support and cooperation from our exhibitors, which has reinforced our belief that our exhibitors and partners are more like our extended family. All of this, and the confidence reposed in us has only strengthened our resolve to work harder to serve all our constituents and business community and work towards making the 2021 expo a grand success.
We remain confident to come out of this current storm stronger than ever before. We thank you for your patronage, as your support and belief in us continues to be our guiding light.
With warm personal regards,
